Policy | Activities | The Amount Field on an Activity

Policy | Activities | The Amount Field on an Activity
Modular Solutions | Policy Module | Client Resource
Purpose
Explain when the Amount field appears on an activity and why it is not shown on every one.
Overview
Amount is part of the activity record rather than a separate feature. It is there for monetary follow-ups, so it is only offered once the activity has been tied to a policy or quote. On an activity that is not attached to one, the field is not shown at all. That is how the form is built, not a fault.
Expected Behaviour
- An activity is raised from the Activities tab of the customer file, then Add New.
- Code is the first field and has to be chosen before the rest of the form becomes available. Attach to Policy/Quote stays greyed out until it is set.
- Attach to Policy/Quote searches the policies and quotes held against that customer and lists each version with its status, for example Issued New, Issued Change, Issued Cancellation or InProgress Change.
- As soon as a policy or quote is attached, Amount appears beside it, starting at $0, and Brokerage Office Name appears below it, filled in from the attached record.
- Clearing the attachment removes both fields again.
Steps
- Open the customer file and select the Activities tab.
- Select Add New.
- Choose the Code for the activity.
- In Attach to Policy/Quote, search for the policy or quote number and select the version the activity relates to.
- Enter the figure in Amount.
- Complete Status, Assign To and Due Date, then save the activity.
Notes and Edge Cases
- Amount is optional. An activity attached to a policy can be saved with the field left at $0.
- Where Amount is not showing, check that the activity has a policy or quote attached. An activity raised against the customer alone does not carry it.
- Brokerage Office Name is filled from the attached record and is not typed in.
Status
Available.
