
Updated Guide to Document Generation and Attachment Behavior
Overview
The consent modal gives users more control over how AFI (Application for Insurance) and PFA (Premium Finance Agreement) documents are created, attached, and managed during policy issuance.
Enhancements to the consent process now allow:
• Separate consent choices for AFI and PFA
• Default settings by user role
• Prevention of duplicate unsigned versions when signed copies are already on file
• Clear handling of digital signatures, unsigned documents, and attachments
• Introduction of the new Email consent type
The system uses the selected consent type to determine whether documents should be generated, digitally signed, attached, or skipped.
On File
What It Does
Indicates a fully signed AFI or PFA already exists and is attached to the policy.
When to Use It
When you have a signed document on file and do not need a new version.
System Behavior
• The system does not generate or attach any unsigned AFI or PFA.
• Prevents duplicate or unnecessary unsigned copies from being included during issuance.
Verbal
What It Does
The system automatically generates and digitally signs the AFI or PFA.
When to Use It
When verbal consent has been obtained and you want the system generated digitally signed version included.
System Behavior
• A digitally signed AFI or PFA is generated.
• The signed version is added to the policy’s attachments after issuance.
What It Does
Provides a workflow for obtaining a customer signature when an AFI or PFA still needs to be signed.
Current Behavior
The automatic email workflow is not active yet.
At this time:
• The system generates the AFI or PFA.
• An unsigned version is placed in the policy’s attachments area after issuance.
• No email is sent automatically.
• The advisor must download and email the document to the client manually for signature.
Future Enhancement
A new workflow will allow the system to automatically send the document for e-signature. This is in development but not available yet.
When to Use It
When the customer still needs to review and sign the AFI or PFA.
How It Works at Issuance
During policy issuance, the system uses the consent type to determine how documents should be handled:
If On File is selected
• No AFI or PFA is generated or attached.
• Avoids sending any unsigned versions when a signed copy already exists.
If Verbal is selected
• A digitally signed AFI or PFA is generated.
• The signed documents are attached after issuance.
If Email is selected
• The system generates the unsigned AFI or PFA.
• The documents are added to the policy’s attachments area.
• No email is sent automatically.
• The advisor must manually send the documents to the client for signature.

Benefits of the Enhanced Consent Process

• Allows different consent selections per document type
Notes for Admins
• Default consent options can be set per user role (Admin, Underwriter, Broker, etc.).
• If your process requires always attaching unsigned versions, even when On File is selected, a configuration change request will be needed.
• Applies to both AFI and PFA documents:
- AFI logic lives in the Underwriting service.
- PFA logic lives in the Finance service.
Automatic generation respects consent logic, while manual generation always proceeds.

Common Questions
Q: What does “On File” actually mean?
A: It means you already have a fully signed AFI or PFA saved and attached to the policy. The system will skip generating or attaching another version.
Q: Does “Verbal” create a signed version automatically?
A: Yes. Verbal consent automatically generates and digitally signs both AFI and PFA, then attaches them to the issuance email.
Q: What happens with “Email”?
A: The document is sent for electronic signature. The signed version will be attached and saved once the signing process is complete.
Q: Can I still manually generate documents later?
A: Yes. Manual generation always works, regardless of the consent option selected.
